These Website Terms of Use apply when you access or use wwebcon.com, including its public pages, illustration and enquiry functions, email-verification processes and WWEBCON client portal.
The website is operated by WEBCON PTY LTD (trading as WWEBCON) (“WWEBCON”, “we”, “us” or “our”).
By using the website, you agree to use it in accordance with these terms.
These terms govern use of the website. They do not replace the terms of an insurance quotation, application, policy, membership document, insurer or underwriter terms, or another formal document governing insurance cover.
WWEBCON acts as an administrator and intermediary in relation to international private medical insurance and associated services.
WWEBCON is not an insurer or underwriter.
Insurance cover is provided by the relevant insurer or underwriter. Decisions concerning underwriting, acceptance, exclusions, premium loadings, policy terms, insured benefits and claims remain subject to the relevant insurance arrangement and the decision of the party authorised to make that decision.
Nothing displayed through the website changes that allocation of responsibility.
Information provided on the public website is intended to explain WWEBCON’s services, available processes and general insurance concepts.
The information should be read in its proper context. General website information is not a substitute for the terms of a particular insurance product or policy.
Where WWEBCON provides information or guidance in response to a person’s particular circumstances, the nature and scope of that communication will depend on the service being provided and the information available at the time.
A figure generated through the website before a formal quotation is an Illustration.
An Illustration is intended to provide an indicative indication of possible cost based on the information and selections entered.
An Illustration is not:
a formal insurance quotation;
an offer of insurance;
confirmation of eligibility;
an underwriting decision;
confirmation of final premium;
confirmation of policy terms; or
confirmation that cover exists.
A formal Quotation may require additional information, including identifying information and date of birth, and may be issued or confirmed through the relevant insurance process.
The final premium or terms may differ from an Illustration because of age, date of birth, location, Area of Cover, deductible, billing frequency, benefit selections, underwriting, insurer pricing, taxes, charges, currency movements or another factor applicable to the insurance concerned.
Viewing the website, completing an Illustration, submitting an enquiry, verifying an email address, creating or accessing a portal account, uploading information, requesting a change or receiving correspondence from WWEBCON does not by itself create insurance cover.
Cover exists only in accordance with the applicable insurance arrangement and the acceptance, commencement requirements and formal documentation of the relevant insurer or underwriter.
A website status, administrative record or communication from WWEBCON should not be interpreted independently of the formal insurance documentation governing the cover.
You are responsible for providing information that is accurate and complete to the best of your knowledge.
Where information is required for an insurance application, underwriting, claim or another formal insurance process, your disclosure obligations are governed by the relevant application, policy and applicable law.
WWEBCON may identify an apparent inconsistency, omission or previous disclosure and ask you to confirm it. WWEBCON will not silently treat historical medical or insurance information as a new declaration by you.
You should review documents and information presented for your confirmation before approving or submitting them.
The website may require you to verify an email address before WWEBCON proceeds with an enquiry.
Verification establishes that the person completing the verification process had access to the email address at that time. It does not by itself establish that person’s legal identity.
WWEBCON may record the email address supplied, verification event, date and time, enquiry reference, consent record and the applicable versions of relevant website terms and privacy information.
Verification and other transactional messages may be sent from a no-reply address.
Where a response route is appropriate, the transactional communication may provide a separate correspondence address to the verified recipient. WWEBCON does not publish its ordinary operational email addresses or telephone numbers through the public website.
Where you ask WWEBCON to contact you about an enquiry, the permission given applies to that enquiry and any quotation, application or subsequent administration you ask us to undertake.
An insurance enquiry does not subscribe you to marketing.
If WWEBCON introduces a newsletter or other optional publication, any subscription process will be separate from the enquiry and insurance-administration process.
Access to the client portal is restricted to authorised users.
Information displayed through the portal may include insurance, membership, invoice, claims, emergency, contact and administrative information associated with the client relationship.
You must not attempt to access another person’s account or information unless you are properly authorised to do so.
You are responsible for taking reasonable care of credentials and devices used to access the portal.
You should not knowingly disclose a password, authentication code or other security credential to another person.
If you believe your account or credentials may have been compromised, you should contact WWEBCON promptly through the correspondence route previously supplied to you or through the website contact process.
WWEBCON may use passwords, one-time codes, device authentication or other authentication methods to protect access to client functions.
A one-time authentication code is intended for the person to whom it was issued and should not be shared with another person.
Where device-based biometric authentication is available, the biometric check is performed by the user’s device. WWEBCON does not receive or store the fingerprint, facial image or other biometric information used by the device to perform that check.
Password-reset and authentication communications may be sent from a no-reply address. WWEBCON will not send a user’s existing password by email.
The portal is an administrative interface and should be read together with the formal insurance documentation applicable to the client.
Where there is a conflict between a portal summary and the formal terms issued by the relevant insurer or underwriter, the formal insurance documentation governs the insurance benefit or contractual position.
WWEBCON will correct an administrative display error once identified and appropriately verified.
An obvious website, data-entry, calculation or display error does not create an insurance benefit, premium, entitlement or contractual term that does not otherwise exist.
A membership card or portal summary is intended to provide convenient access to selected information.
It does not replace the formal policy or membership documentation issued under the insurance arrangement.
Where a client chooses to add emergency information, that information may be displayed as part of the relevant emergency or membership-card function.
Emergency information entered through the portal is separate from information formally disclosed for underwriting, an insurance application or a claim. Updating emergency information does not automatically amend information previously provided to an insurer or underwriter.
A saved or previously shared copy of a membership card may become outdated after information changes. The current portal record should be checked where circumstances permit.
Invoices and payment information displayed through the website or portal are administrative records.
A payment may require identification, allocation or reconciliation before WWEBCON can update the relevant account record.
Accordingly, an invoice or account status should not automatically be interpreted as an allegation that a client has failed to pay.
Where payment has already been made but has not yet been matched to the relevant invoice or account, WWEBCON may request SWIFT confirmation, proof of payment or other information reasonably required to reconcile the transaction.
Insurance consequences arising from non-payment, delayed payment or suspension remain subject to the applicable insurance arrangement and confirmation from the relevant authorised party.
A renewal invitation, renewal status or renewal information displayed through the website does not itself renew the insurance.
Where a client requests a change to cover, benefit, deductible, Area of Cover, billing frequency or another policy term, the request does not itself amend the insurance contract.
A requested change remains subject to the applicable process and, where required, confirmation or acceptance by the relevant insurer or underwriter.
The portal may therefore show that a renewal or requested change is awaiting review, confirmation or another administrative step.
WWEBCON may assist with the administration, preparation, communication or tracking of insurance claims.
WWEBCON does not determine an insured claim unless expressly authorised to do so under the applicable arrangement.
A claim status displayed through the portal is an administrative description of the information available to WWEBCON at that time.
Terms such as Approved, Partially approved or Declined should only be used where the relevant decision has been communicated by the party authorised to determine the claim.
Submitting information to WWEBCON does not guarantee that a claim is complete, admissible or covered.
The applicable insurer, underwriter, claims administrator or other authorised decision-maker may request additional information.
Where the website allows documents to be uploaded or prepared, you should provide only information reasonably relevant to the purpose concerned.
You should not upload another person’s confidential, medical, financial or identifying information unless you are authorised to provide it for the relevant purpose.
Preparing or finalising a document within the website does not necessarily mean that it has been submitted to an insurer, underwriter, claims administrator or another third party. The interface should indicate when a separate submission step is required.
Where an insurer or underwriter requires its own form or declaration, the wording of that form remains the wording of the issuing party.
Information supplied through WWEBCON concerning an insurance process, medical benefit, claim, treatment-authorisation process or insurer requirement is not medical diagnosis or treatment advice.
Questions concerning diagnosis, treatment or clinical decisions should be addressed to an appropriately qualified healthcare professional.
Where WWEBCON communicates information received from an insurer, underwriter, claims administrator, assistance provider or healthcare facility, responsibility for the underlying clinical or insurance decision remains with the party authorised to make it.
Insurance products, benefits and terms can vary according to country of residence, nationality, age, Area of Cover, underwriting, insurer rules, distribution arrangements and other eligibility requirements.
The presence of information about a product on the website does not mean that the product is available to every person or in every jurisdiction.
WWEBCON may amend or remove website information where a product, service, process or arrangement changes.
WWEBCON aims to keep the website and client portal reasonably available but does not guarantee uninterrupted or error-free operation.
Access may be interrupted by maintenance, hosting issues, communications failures, software changes, security measures, service-provider outages or circumstances outside WWEBCON’s reasonable control.
Where a time-sensitive insurance or medical matter cannot reasonably wait for restoration of the website, clients should use an appropriate alternative contact route previously supplied to them or the emergency or assistance details contained in their applicable insurance documentation.
The website may refer or link to insurers, underwriters, assistance providers, healthcare providers or other independent organisations.
A link or reference does not make WWEBCON responsible for the independent website, system, privacy practices, availability, content or acts of that organisation.
Where WWEBCON uses a third-party service to support its own website or administration, WWEBCON remains responsible for its own obligations concerning the information and processing under its control.
Unless otherwise stated, the WWEBCON website, its original text, structure, presentation, graphics, branding, documents and other original materials are owned by or licensed to WEBCON PTY LTD.
You may use website materials for ordinary personal use connected with your enquiry, insurance or client relationship.
You may not, without permission and subject always to rights granted by applicable law:
reproduce substantial parts of the website for commercial use;
republish WWEBCON materials as your own;
systematically extract or compile website content;
use automated means to harvest website content or data;
create a competing database from WWEBCON’s protected content;
remove copyright, ownership or document-identification notices; or
use WWEBCON’s original materials to train, populate or materially reproduce content for a commercial artificial-intelligence or machine-learning system.
Nothing in this section prevents use that WWEBCON cannot lawfully restrict.
You must not use the website in a way intended to compromise its security, availability or integrity.
This includes attempting to:

introduce malicious code;
interfere with website operation;

The absence of a download facility does not remove any intellectual-property rights in the document.
A document supplied for a client’s own insurance or administrative purposes may be retained and used by that client for those purposes.
Personal information processed through the website is handled in accordance with the WWEBCON Privacy & Data Protection Notice and the data-protection requirements applicable to the particular processing.
The Privacy & Data Protection Notice explains, among other matters, the information WWEBCON collects, the purposes for which it is used, relevant recipients, international processing, retention, security, technical and device data, and applicable individual rights.
WWEBCON is responsible for its own acts and omissions to the extent provided by applicable law.
WWEBCON is not responsible for an insurance, underwriting, claims, clinical or other decision made independently by a party authorised to make that decision merely because WWEBCON assisted with the administration or communication of the matter.
Nothing in these terms excludes, restricts or attempts to waive liability or a right where applicable law does not permit that liability or right to be excluded, restricted or waived.
The website should not be relied upon as the sole source of information where formal insurance documentation, an insurer or underwriter decision, or urgent medical or assistance instructions govern the matter.
WWEBCON may amend these terms where the website, services, systems, insurance-administration processes or applicable requirements change.
The current version will carry its effective date.
A material change affecting an existing client relationship will be communicated where required or where the nature of the change makes direct communication appropriate.
WEBCON PTY LTD is established in Botswana.
These Website Terms of Use are governed by the laws of Botswana, subject to any mandatory rights, protections or jurisdictional requirements that applicable law provides and that cannot lawfully be excluded by agreement.
Use of the website from another country does not, by itself, constitute a representation that every law of that country applies to WWEBCON or its services.
General enquiries should be submitted through the contact process provided on the WWEBCON website.
Existing clients should use the client portal or correspondence details already supplied to them where appropriate.
Privacy and data-protection matters are handled separately in accordance with the Privacy & Data Protection Notice.
WWEBCON does not publish an ordinary operational email address, telephone number or individual staff member’s contact details through these Website Terms of Use.
